Become an NB Client

Thank you for choosing to work with us at NB – we are looking forward to assisting you with your property management and all other Japan related tasks you may need.

If you would like to be onboarded as a client, please complete THIS FORM – you will first need to prepare the following (one set of documents per property owner) –

  • Google username to fill in the form – if you do not have one yet, you can sign up for a Google account here
  • Your property information & documentation –
    • Your original Japanese, signed purchase contract
    • Your original Japanese, signed “Important Matters” document
    • In case of condo units – “Building Investigation Report” including owner union renovation history and reserve funds status
    • Registration certificate (“tohon”) – if you’re still not in possession of a registration certificate with your own name on it, a copy of the previous certificate bearing the seller’s name is acceptable to begin management – once the new registration document is received, please email it to us as well
    • In case of houses – a  structural inspection report, if one has been conducted
    • A clear colour scan of your passport ID page, with the words “This is my true signature” and your signature below
    • A clear colour scan of proof of address document, such as utility bill, drivers license or ID card
    • In case of condo units – owner union forms for the transfer of ownership and building fees automatic bank deductions
    • In case of condo unit – owner union rulebook
    • Last property tax statement including official evaluation
    • Settlement statement
    • Our two engagement documents, signed and witnessed – links and execution instructions below
    • A completed management plan selection form – link below

IMPORTANT – Notes for execution –

* Please fill in the full name/s of the property owner/s, including any middle names, exactly as per your passport/s

* Please fill in your complete home country addresses, including states/prefectures/postcode and country

* Please sign at the bottom of the first two pages of the contract, above “Client 1″/”Client 2” (in case of joint ownership)

* The date of expiry on the POA is entirely up to you, but we’ll always need a valid document to manage your properties – if you’d like to avoid having to re-execute when expired, feel free to leave the date field blank – this will mean you’ll need to notify us via email if and when you’ll want to terminate our authority.

* Both documents need to be witnessed by a Notary public, with their certificate or stamp/seal attached. In Australia & New-Zealand a Justice of the Peace will suffice. Japanese residents can stamp the documents with their official registered seal/ stamp, and enclose an original seal certificate document (“inkan shiome”).

Once the form has been submitted and all documents uploaded, we will review your submission, and then contact you to finalize the onboarding process directly.
